GoRemote Ltd, trading as Recordr (“GoRemote” or “we,” “our,” or “us“) is a technology company specialising in video capture and analysis. We operate the Recordr platform (“Platform“), which enables the collection of participants’ video-based responses and other content on behalf of our clients.

This Privacy Policy explains how we collect, use, store, share and protect your personal data when you:

  • (i) visit or use our website at www.goremote.team; or www.recordr.video (“Website“).
  • (ii) use our Platform – either as:
    • a participant (“Participant“) who submits a testimonial or response (including video, audio, image and text) and other data (“Content“) through the Platform, or
    • a client (“Client“) who collects the Participants’ testimonials or responses (and other Content) through the Platform.

1. Who We Are

GoRemote is a company incorporated in England and Wales with registered number 10207544, whose registered office is at Studio 102, Netil House, 1 Westgate Street, London, E8 3RL.

GoRemote is registered with the UK Information Commissioner’s Office (ICO) under registration number ZB866932 and complies with applicable data protection regulations.

For visitors/users of the Website:

We act as the data controller for personal data collected through the Website. This means that we determine the purposes and methods of processing your personal data when you visit or use the Website.

For users of the Platform:

  • (i) if you are a Client, we act as the data controller for the personal data you provide when setting up an account on the Platform and/or ordering services;
  • (ii) if you are a Participant:
    • we act as the data processor when you receive a request for a video testimonial or other Content from one of our Clients using the Platform. In this case, the Client determines the purposes and methods of processing your data, and we process it strictly under their instructions (in accordance with a data processing agreement between us and that Client). To receive information about the purposes and methods of processing of your data in this case, please refer to the privacy policy of the relevant Client;
    • we act as the data controller when we process your personal data for AI-driven analytics or Platform improvement or when we request video testimonials and other Content from you for our own purposes and not on behalf of any Client (in this case, you receive the request directly from us and not from our Client).

We do not verify, monitor or take responsibility for our Client’s data collection practices. Any claims, disputes or regulatory issues arising from a Client’s failure to comply with data protection laws remain the sole responsibility of the Client.

The following sections of this privacy policy explain how we collect and process your personal data when we act as a data controller.

2. What Personal Data We Collect

If you are a visitor or user of the Website, we may collect and process the following information:

    • your name, address, email address, telephone number(s) and other contact details
    • your company’s name, your position in the company, the company’s address, company’s email
    • other details submitted through website forms

    • your company’s name, your position in the company, the company’s address, company’s email
    • your payment information such as credit or debit card details and bank account details

    • IP address and non-precise geolocation data (derived from IP addresses)

    • website interaction data (e.g., pages visited, time spent)

If you are a Participant, we may collect and process the following information:

  1. (i) information you provide:
    • your name, age, address, email address and other contact details
    • video submissions (including embedded audio)
    • text-based answers to open or closed questions
    • dropdown selections, multi-select inputs
    • uploaded images or automatically generated screen captures such as thumbnails
    • other details submitted through the Platform forms

    • IP address and non-precise geolocation data (derived from IP addresses)

    • device information
    • website interaction data (e.g., pages visited, time spent)

We do not actively request or intentionally process any information relating to your racial or ethnic origin, political opinions, religion, trade union or other professional associations or memberships, philosophical beliefs, sexual orientation or practices, criminal records, health information or biometric information. If at any time we need to collect sensitive information about you, unless otherwise permitted by law, we will first obtain your consent and we will only use it as required or authorised by law.

3. Why We Use Your Personal Data

We process your personal data for the following purposes and according to the following legal bases:

If you are a visitor or user of the Website:

If you are a Participant:

  • When we request your testimonial for our own purposes (and not on behalf of any Client), we collect and process video, audio submissions and other Content you provide for our marketing and promotional purposes. This includes, but is not limited to:
    • editing, altering, modifying, and enhancing your Content to ensure quality and suitability for promotional use;
    • reproducing, adapting, distributing, displaying, and publishing your Content in any media and through any platforms, including our website, social media, and in digital advertisements and other marketing materials;
    • showcasing testimonials, feedback or endorsements in connection with the promotion of our services, products and brand;
    • using excerpts, screenshots, or transcripts of your Content in advertising campaigns, case studies and presentations;
    • storing and managing your Content to facilitate the above actions
  • Legal Basis: Consent
  • Purpose: AI-based probabilistic estimations of age group, sentiment and gender for the purposes of categorising Participants’ submissions, trend analysis and reporting to the Client
  • Legal Basis: Legitimate interest (to categorise content and improve platform functionality)
  • Purpose: AI-based age group estimation for flagging underage Participants
  • Legal Basis: Legitimate interest (to ensure that the Platform is used according to its rules and relevant law)
  • Purpose: Flagging the Content, including by using AI-driven technologies, to detect potentially harmful content and conduct
  • Legal Basis: Legitimate interest (to ensure that the Platform is used according to its rules and relevant law)
  • Purpose: AI-based analysis of your audio and other Content for transcription and translation
  • Legal Basis: Legitimate interest (to improve the Platform and services accessibility)
  • Purpose: Enforcing our Terms of Service and policies (through automated means and human moderation). This may include restricting your access to our Platform

Legitimate interest – further information

We also may process your personal data based on our legitimate interests (see the rows of the table above which mention “legitimate interests” in the “lawful basis” column).

We carefully assess the impact of this processing on your rights and ensure it does not unduly affect your privacy. You have the right to object to this processing at any time by contacting us at privacy@recordr.video. If you receive an email with marketing communications from us, you can also click the unsubscribe link included in our emails.

If you have objected, we will not rely on legitimate interest to process your data for that purpose.


Artificial intelligence (“AI”) – further information

Our Platform uses AI-driven technologies, including (i) transcription and translation to improve the Services accessibility; and (ii) automated content flagging systems to detect potentially harmful content and conduct approximate age verification checks. This is necessary to ensure that the Platform is used according to its rules and does not involve biometric analysis.

In certain cases, our Platform uses AI-based tools to categorise content and improve platform functionality. This may include probabilistic estimations of general characteristics, such as sentiment, age range, and gender. These processes do not involve facial recognition, do not store or process biometric data, and do not make automated decisions that have a legal or significant impact on users.

AI features in our Platform are designed to assist in the Content processing and analysis. However, they do not make fully automated decisions that have a legal or significant impact on the Participants or the Clients.

4. How We Share Your Personal Data

We do not sell your personal data. We only share it with trusted third-party processors under GDPR-compliant safeguards, as outlined in this policy.

To operate the Website, we use trusted third-party services:

To operate the Platform, we rely on trusted third-party service providers for data storage, processing, and analytics. We only share personal data with third-party processors where necessary for the Platform functionality, security, or performance.

Some sub-processors provide infrastructure support but do not directly process or store personal data. We use their services for:

  • cloud storage and file processing;
  • database and backend services;
  • client portal and access management;
  • security, monitoring and compliance.

5. International Data Transfers & Safeguards

We ensure that all sub-processors storing personal data are based within the EEA (European Economic Area) to comply with UK GDPR & EU GDPR.

All database and file storage systems used by GoRemote are hosted within the EEA.

Some third-party services (e.g. HubSpot, LinkedIn, Google) may store data outside the UK/EEA. These services may process data in the United States, the European Economic Area (EEA) or other locations where their data centres are hosted.

All international transfers are safeguarded by Standard Contractual Clauses (SCCs) or equivalent protections, in line with GDPR requirements.

6. Data Retention

We will only retain your personal information for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements.

To determine the appropriate retention period for personal information, we consider the amount, nature and sensitivity of the personal information, the potential risk of harm from unauthorised use or disclosure of your personal information, the purposes for which we process your personal information and whether we can achieve those purposes through other means and the applicable legal, regulatory, tax, accounting or other requirements.

When personal data is no longer required, we irreversibly render it anonymous or destroy it in complete security.

7. Data Security

Security of your information is important to us. We implement technical and organisational measures to safeguard your data, including:

  • encryption for data in transit and at rest;
  • access controls to restrict data access to authorised personnel;
  • secure hosting and secure file transit;
  • continuous monitoring of our systems for security threats and suspicious activity.

8. Your Rights

Some of these rights apply generally, while others will only apply in certain circumstances. Depending on the scenario, these rights may be subject to some limitations:

  • Access your information – you can ask us to confirm what information we process about you, to provide certain information about the processing and for a copy of your information
  • Rectify your information – you can change or ask us to change or correct your information where that information is not accurate.
  • Delete your information (right to be forgotten) – you can request deletion of your personal data, subject to legal or contractual retention obligations.
  • Restrict the processing of your information – you can request that we limit how your personal data is used where (a) you are challenging the accuracy of the information, (b) the information has been unlawfully processed, but you are opposing the deletion of that information, (c) where you need the information to be retained for the pursuit or defence of a legal claim, or (d) you have objected to processing and you are awaiting the outcome of that objection request.
  • Port your information – you can receive your personal data in a structured, commonly used and machine-readable format and, where feasible, request that it is transferred to another controller.
  • Withdraw your consent – you can revoke your consent for processing at any time where processing is based on consent.
  • Object to the processing of your information – you can object to processing where we rely on legitimate interests as a legal basis.
  • Lodge a complaint – you can file a complaint with a supervisory authority, such as the UK Information Commissioner’s Office (ICO), if you believe your rights have been infringed.

Handling of Data Subject Rights Requests

We only process data deletion or access requests for personal data we directly collect from Participants and Clients using the Platform or users/visitors of the Website.

For all Participant’s data collected by our Clients via the Platform, the respective Client is the data controller and is fully responsible for responding to data subject requests under GDPR. In this case, Participants must contact the respective Client directly to exercise their rights. If we receive a data subject request related to Client-collected data, we will redirect the request to the relevant Client but will not be responsible for enforcing the request.

9. Younger Users

We do not intentionally collect personal data from children under the age of 16 without obtaining verifiable parental consent. If we become aware that we have inadvertently collected such information, we will take immediate action to delete it from our records. Children under 16 must have permission from a parent or guardian before using the Website or the Platform.

The Platform uses strictly necessary cookies to support core Platform functionality, such as maintaining user sessions and ensuring secure data transfers. These cookies do not track personal data and are essential for the Platform to function correctly.

We do not use front-end analytics or marketing tracking technologies (such as Facebook Pixels, Google Ads or third-party behavioural tracking tools) on the Platform web app.

However, we collect the following metadata to support the Platform functionality, security, and fraud prevention:

  • IP address & browser type (collected via authenticated API calls to our backend)
  • geo-location approximation (via BigDataCloud API, based on IP address). In some cases, approximate location data (derived from IP addresses) may be displayed to Clients within the Platform to provide insights on submission origins.

Our Website may contain links to external sites. We are not responsible for their privacy practices. Please review their policies before providing personal data.

12. Changes to this Privacy Policy

We reserve the right to amend this Privacy Policy at our discretion. Material changes will be communicated to Clients via email and, where applicable, to Participants via the Platform interface or other suitable means. Your continued use of the Website or the Platform following the posting of any changes to this Privacy Policy will mean that you accept such changes.
